Why We Ask for a Signed Authorization

None of this is unique to Apex — it's standard practice anywhere a payment is taken without the card physically present or a teller across the counter. Here's what it's actually protecting.

What a Phone or Remote Order Involves

    Your card isn't physically swiped or inserted, so we can't confirm the card is genuinely in your hand the way an in-warehouse purchase does.

    A signed authorization form gives us your written permission to charge a specific amount to a specific card for a specific order — it's the paper trail that replaces your physical card and signature.

    It protects you too: if a charge is ever disputed, the signed form is proof the charge was requested and approved by the actual cardholder.

    For Zelle and ACH/wire orders, there's no card involved at all — the form instead confirms the account, amount, and invoice the payment is tied to before funds move.

Good to Know

We release material once payment is confirmed in our system — not from a screenshot or a text message. Screenshots are easy to fake, so our team always verifies the deposit directly.

Why does a phone order need a signed form if I already gave my card number?
Reading a card number over the phone isn't the same as the card being physically present. The signed authorization is the documentation that ties that specific charge to your written approval — it's what protects you from an unauthorized charge and protects us from a card being used without the real owner's knowledge.
What's the most common card scam to watch for?
Someone impersonating a supplier or contractor and asking you to read a card number over text or email, then using it for unrelated charges. We will never ask for your card number by text or email — only through a phone call you initiated or a signed authorization form.
How do I protect myself when paying by card over the phone?
Only give card details when you placed the call or you recognize the number calling you. Ask for your invoice number to be referenced on the form, and keep a copy of the signed authorization for your own records.

Zelle

Is it safe to pay a business by Zelle?
Yes, as long as you're sending to the correct, verified business account. Before you send, confirm the recipient name shown in your banking app reads exactly APEX HOME OUTLET INC. If it shows a different name or a personal name, stop and contact us before sending.
Can I cancel or reverse a Zelle payment if something goes wrong?
Generally no. Zelle payments are sent immediately and typically cannot be canceled or reversed once sent, so always double-check the recipient name and amount before confirming.
What's the biggest Zelle scam risk?
QR code swapping — a fake sticker placed over a legitimate QR code that redirects your payment to a scammer's account. Always confirm the recipient name in your own banking app before sending, rather than trusting the QR code alone.
Why do you need my invoice number in the memo?
Zelle doesn't pass along invoice or order details the way a card payment does. Including your invoice number in the memo lets us apply your payment to the right order quickly and avoid delays.

ACH / Wire Transfer

How do I know I have the correct bank account details?
Only use the account information provided directly on our signed ACH/wire authorization form. If you receive banking details by email that differ from the form — even slightly — do not send funds. Call us on a number you already have to confirm before transferring.
What is "invoice fraud" and how does it apply here?
This is when a scammer intercepts an email thread and sends fake, updated banking details asking you to redirect a wire payment. Because wires are hard to reverse, always verify banking details by phone before sending a large transfer, especially if the instructions changed from a previous order.
Why is ACH/wire the recommended method for large orders?
Card and Zelle transfers are both subject to daily limits set by your bank, which often can't cover a full slab or cabinet order. ACH/wire has no such limit and gives both sides a clear bank record tied to your signed authorization.

Payments are processed only against a completed, signed authorization form matched to your invoice. Apex Home Outlet staff will always verify funds directly in our system before releasing merchandise — a payment confirmation screenshot alone is not sufficient for order release.
